Your system says the product is in stock. Still, someone heads to the warehouse to check.

They may have been caught out before. Maybe stock was moved and nobody recorded it. Maybe the figures from another branch are a bit... optimistic.

Whatever the reason, checking has become part of the routine. A quick walk into the warehouse, a call to another branch, a look at the spreadsheet, or a question for the person who somehow knows where everything is.

Your colleague eventually gets the answer and carries on. Until it happens again.

All those small checks add up. And when you’re responsible for keeping orders, stock and people moving, you’d probably rather your team spent their time doing exactly that.

 

What’s behind all that checking? 

Stock accuracy is built through hundreds of small actions every day.

Goods arrive, products are put away, orders are picked, stock moves between locations, returns come back, counts are completed.

When those activities aren’t recorded consistently, the stock position starts to lose credibility. Disconnected systems can make matters worse, leaving different teams working from different information.

And stock on hand is only part of the picture. Your team may also need to know what’s already been promised to customers, what’s coming in and whether another location has what they need.

The space between what your team needs to know and what they can confidently see and act on is the ‘Visibility Gap’.

The bigger that gap gets, the more your business may be paying for what your staff can’t see.

Your team adapts. Spreadsheets appear. Phone calls fill in the gaps. People check things manually. A little extra stock gets ordered “just in case”.

Then there’s accuracy. Visibility loses its value quickly when your staff don’t trust what they’re seeing. If the system says the stock is there but someone still needs to check the shelf, the gap is still there.

Your team adapts. Spreadsheets appear. Phone calls fill in the gaps. People check things manually. A little extra stock gets ordered “just in case”.

These are sensible responses to the problem in front of you. They're also taking up time, tying up cash and making everyday decisions harder. Stock uncertainty can leave you with too much of something you can't sell, too little of something customers want and orders that take longer to fulfil.

There’s a better way to run things.

 

Build stock accuracy into the working day  

It may sound obvious but take a closer look at how your stock position is built. Better still, audit the journey.

Follow a few products from the moment they arrive to the moment they leave. Where could the information be missed, delayed or recorded differently?

Pay attention to the small gaps. A movement recorded later. A transfer handled differently at one branch. A return waiting to be processed. On their own, they may seem insignificant. Across hundreds of stock movements every day, they add up.

Start there.

Give your team a simple, consistent way to record activity on the warehouse floor. Scan a movement when it happens. Book goods in where they’re received. Record transfers straight away. Make stock locations clear and easy to follow.

Regular cycle counts can help discrepancies sooner too. Smaller counts throughout the year give your team the chance to investigate while there’s still a reasonable chance of working out what happened, rather than discovering months of discrepancies in one painful exercise.

 

Give everyone the same stock picture

Things get more interesting when you’ve got several warehouses or branches.

One of your customers wants something your branch doesn’t have. Can your team see whether another location has it? Can they see what’s already committed elsewhere? And, more importantly, do they trust what they see enough to promise it to the customer?

This is where closing the Visibility Gap starts to make a very practical difference.

Stop hunting for problems 

Once every day processes are working consistently, you can change where you direct your attention. You shouldn’t have to dig through the operation looking for something that’s gone wrong.

A discrepancy needs investigating? Surface it.

A return needs approval? Flag it.

Something hasn’t moved when it should have? Put it in front of the right person. The aim is to move from monitoring everything to managing what needs attention.

 

Give your team confidence to act  

South Coast Building Supplies describes the outcome nicely:

If it says there’s 17 in stock, it’s a lot more confidence ...to run business more efficiently.”

There’s that word: confidence. A stock figure your staff trust changes how they work.

They can answer customers faster. They can move stock between locations with confidence. They can spend less time checking shelves, chasing colleagues and maintaining backup spreadsheets.

Better control can help with the stock sitting on those shelves too.

 

Give your team fewer reasons to check

You may not be looking to change your ERP. You might not even see your stock system as a problem.

And that’s fine.

But if your team regularly checks the warehouse, calls another branch or reaches for a spreadsheet before they trust what’s on screen, it’s worth asking why.

Look at the everyday processes behind your stock position. How are goods received? How are movements recorded? What happens with transfers and returns? Where do people leave the system and create their own workaround?

You might find a few processes that can be tightened up today.

And if the technology itself is getting in the way, that's worth knowing too.
